4 Tips to Use Time-Blocking for Organization & Productivity in the New Year

I can only speak from my own experience on how I get lots done each day. I'm a morning person: 6:00 am, a cup of coffee and a laptop, and I'm off to the races. No interruptions, no personal calls or text messages coming in.

Find a time of day like this where you can get some creative or busy work done so you can feel accomplished right away. Make a list of the "must dos" for the day. Don't make the endless "try to dos" - that’s a list for later.

Yes, one task at a time, set time to complete (or to table), then move to the next task. Try to put your phone on silent and in a drawer if possible and check it again at a task break.

The following tips will help you start the new year off on your most productive foot.

Tip #1: Create Strategic Lists

Lists are great, but only if you can program yourself to LOOK at them. :) There are really three lists you’ll need: Must do today. Must do this week. Good to do in the next 2-4 weeks.

Good to do items can eventually move up to your Must Do lists. Yep, check them off when completed - it's sooo satisfying.

Tip #2: Build a Basic Daily Schedule

Create a daily schedule and figure out what your Big Blocks are. Examples include work and meetings, meals, exercise (yep, this needs to be scheduled), commute time, family activities and grocery shop/meal prep.

Tip #3: Fill in Each Time Block

Once you know what your Big Blocks are, fill in specifics for each. Be realistic about how much time each item will take, and always give yourself a bit of a cushion for the un-expected. Try not to let people derail you too much.  Some text messages and emails can wait till later.

Build in breaks. One of the best things you can do is take a quick walk around your building. Get some fresh air if you can. It will help clear your mind to start again on the next task.

Tip #4: Set Boundaries with Your Time

One of the most important things I've done for myself this past year is put my phone on the charging station at a designated quitting time. It's a boundary I've set for myself and my clients (and sometimes family and friends).

We all work so hard during the day. We tax our minds with endless tasks and projects. It's important that the world knows that you are NOT accessible 24/7. Give yourself the gift of a clear mind.

Being Intentional with Your Time

Being productive and effective in our work, our lives and in our homes takes practice. My best advice is to be deliberate with the use of your time, set boundaries for the things that are important, and if one method doesn't work, try something new.  It will take practice but eventually you will find a way that works for your life, your learning style and your mind.
